Terms and Conditions for Accommodation

[Scope of Application]

Article 1

  1. Accommodation contracts and related agreements entered into by this Hostel shall be governed by these Terms and Conditions. Any matters not stipulated herein shall be governed by applicable laws and regulations or generally accepted customs.
  2. Notwithstanding the provisions of the preceding paragraph, the Hostel may enter into special agreements to the extent that they do not violate the intent of these Terms, laws, regulations, or customs.

[Application for Accommodation Contracts]

Article 2

  1. A person who intends to apply for an Accommodation Contract with the Hostel shall provide the following information to the Hostel:
    • Full name, address, age, phone number, gender, occupation, date(s) of stay
    • For foreign guests: Nationality, passport number, previous place of stay, next destination
    • Departure date, number of guests, scheduled departure time, age category of accompanying guests (Adult, Child, Infant)
    • Other matters deemed necessary by the Hostel
  2. If a guest requests to extend their stay beyond the date(s) specified in Item 1 of the preceding paragraph during their stay, the Hostel shall treat such request as a new application for an Accommodation Contract at the time the request is made.
  3. Guests under 18 years of age (including high school students) unaccompanied by a parent or guardian are not permitted to stay unless parental consent is obtained. In such cases, a Parental Consent Form must be submitted for each guest.
    Elementary and junior high school students may stay only if accompanied by a responsible adult (if not a family member) and upon submission of a Parental Consent Form.

[Conclusion of Accommodation Contracts, etc.]

Article 3

  1. An Accommodation Contract shall be deemed to have been concluded when the Hostel accepts the application set forth in the preceding article. However, this shall not apply if the Hostel proves that it did not accept the application.
  2. When an Accommodation Contract is concluded in accordance with the preceding paragraph, the Hostel may require the payment of an accommodation deposit up to the total accommodation fee for the stay period by a designated date.
  3. The deposit referred to in the preceding paragraph shall be applied to the cancellation penalty set forth in Article 6 if applicable, and any remaining balance shall be refunded.

[Refusal to Conclude Accommodation Contracts]

Article 4

The Hostel may refuse to conclude an Accommodation Contract under any of the following circumstances:

  1. When there are no rooms available due to full occupancy.
  2. When the application for accommodation does not conform to these Terms and Conditions.
  3. When the person intending to stay is deemed likely to engage in conduct that violates laws and regulations, public order, or good morals in relation to accommodation.
  4. When the person intending to stay is recognized as falling under any of the following (a) through (c):
    1. An organized crime group as defined in Article 2, Item 2 of the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991) (hereinafter "Organized Crime Group"), an organized crime group member as defined in Item 6 of the same Article (hereinafter "Gang Member"), an associate member, an affiliate, or any other antisocial force.
    2. A corporation or other organization whose business activities are controlled by an Organized Crime Group or Gang Member.
    3. A corporation that has any officer recognized as a Gang Member.
  5. When the person intending to stay is clearly recognized as having an infectious disease.
  6. When the person intending to stay makes violent demands or demands that exceed reasonable bounds against the facility or its staff, or is recognized as having engaged in similar conduct in the past.
  7. When accommodation cannot be provided due to natural disasters, facility malfunctions, or other unavoidable reasons.
  8. When the person's behavior is determined to cause nuisance or trouble to other guests.

[Cancellation of Reservations by the Guest]

Article 5

  1. The guest may cancel the Accommodation Contract by notifying the Hostel.
  2. If the guest cancels the Accommodation Contract in whole or in part due to reasons attributable to the guest, the Hostel shall charge a cancellation penalty as specified below. However, in the case of group bookings (10 or more guests), if a partial cancellation is made, no penalty shall be charged for a number of guests equivalent to up to 10% of the total booked guests (fractions rounded up) as of 10 days prior to the date of stay (or the booking confirmation date if accepted after that date).

    (1) Individual Guests

    1. Cancellation 2 days prior to the date of stay: 30% of accommodation fee
    2. Cancellation 1 day prior (the day before) to the date of stay: 50% of accommodation fee
    3. Cancellation on the date of stay (same-day) or No-show without prior notice: 100% of accommodation fee

    (2) Group Guests (10 or more people)

    1. Cancellation from 1 month prior to the date of stay or No-show without prior notice: 100% of accommodation fee
  3. If a guest has specified an estimated arrival time and does not arrive within 2 hours after that time without notice (or by 24:00 / midnight if no time was specified), the Hostel may treat the accommodation reservation as having been canceled by the guest.
  4. If a reservation is deemed canceled under the preceding paragraph, but the guest proves that the non-arrival without notice was due to delay or suspension of public transportation (trains, airplanes, etc.) or other reasons not attributable to the guest, the cancellation penalty under Paragraph 2 shall not be charged.

[Right of Cancellation by the Hostel]

Article 6

  1. The Hostel may cancel the Accommodation Contract under any of the following circumstances:
    • When the guest is recognized as likely to engage in, or has engaged in, acts that violate laws and regulations, public order, or good morals regarding the stay, or is recognized to have committed such acts.
    • When the guest is recognized as falling under any of the following (a) through (c):
      1. An Organized Crime Group, Gang Member, associate member, affiliate, or other antisocial force.
      2. A corporation or entity whose business activities are controlled by an Organized Crime Group or Gang Member.
      3. A corporation with an officer recognized as a Gang Member.
    • When the guest engages in behavior that causes significant nuisance or disturbance to other guests.
    • When the guest is clearly recognized as having an infectious disease.
    • When violent demands are made or unreasonable burdens are demanded regarding the stay, or when it is recognized that similar acts were committed in the past.
    • When the Hostel cannot accommodate the guest due to force majeure, such as natural disasters.
    • When payment of the reservation deposit requested under Article 3, Paragraph 2 is not made by the specified deadline.
    • When the guest does not comply with the prohibited matters set forth in the Hostel's House Rules.
  2. If the Hostel cancels the Accommodation Contract pursuant to the preceding paragraph, no charges shall be made for accommodation services that have not yet been provided to the guest.

[Registration of Accommodation]

Article 7

  1. Guests are required to register the following details at the front desk on the day of arrival:
    • Full name, address, age, phone number, gender, occupation
    • For foreign guests: Nationality, passport number, previous place of stay, next destination
    • Departure date, number of guests, scheduled departure time, age category of accompanying guests (Adult, Child, Infant)
    • Other matters deemed necessary by the Hostel

[Occupancy Hours of Guest Rooms]

Article 8

  1. Guests may use the guest rooms from 3:00 PM until 10:00 AM the following morning. However, in the case of consecutive stays, guest rooms may be used all day, excluding the arrival and departure dates.
  2. If baggage or personal belongings are left behind in the facility or guest rooms after check-out, the Hostel shall take appropriate measures in accordance with the law. If the owner is clearly identified, the Hostel may, at its discretion, contact the owner and request instructions (however, the Hostel is under no obligation to contact). Items deemed food, beverages, or trash may be disposed of on the date of check-out for sanitary reasons.
  3. If a guest clearly uses the Hostel's facilities (such as the lobby or front desk area) for an extended period equivalent to a stay after check-out, an appropriate fee may be charged.

[Payment of Fees]

Article 9

  1. Payment of fees shall be made in cash, credit card, or accommodation voucher at the front desk upon arrival or whenever requested by the Hostel.
  2. Once the Hostel has made the guest room available for use, the accommodation fee shall still be charged even if the guest voluntarily chooses not to stay.

[Compliance with House Rules]

Article 10

Guests must comply with the House Rules established by the Hostel.

[Responsibility of the Hostel]

Article 11

  1. The Hostel's liability regarding accommodation shall commence when the guest registers at the front desk or enters the guest room, whichever comes first, and shall end when the guest checks out to depart.
  2. The Hostel shall not be held liable for any accident resulting from the guest's failure to comply with the Hostel's House Rules.
  3. If the Hostel is unable to provide a guest room due to reasons attributable to the Hostel, it shall arrange other accommodation facilities under as similar conditions as possible, except in cases where it is difficult due to natural disasters or other unavoidable reasons.

[Parking Liability]

Article 12

  1. The Hostel shall not be liable for any accident, theft, or trouble occurring in the parking facilities (including affiliated parking lots and bicycle parking areas), except in cases of intentional misconduct or gross negligence by the Hostel.
  2. The use of parking facilities is limited to the duration of the guest's stay.
  3. Guests must contact the Hostel in advance prior to using parking facilities.

[Responsibility of the Guest]

Article 13

  1. If the Hostel incurs damage due to the intentional misconduct or negligence of a guest, the guest shall compensate the Hostel for such damage.
  2. When placing luggage or personal belongings in the lobby or common areas, guests are requested to manage them at their own risk. Unless there is intentional misconduct or gross negligence by the Hostel, the Hostel shall not be held liable for any loss, destruction, or damage to such belongings.

[Handling of Deposited Articles at the Front Desk]

Article 14

  1. If loss, breakage, or damage occurs to articles deposited by a guest at the front desk during custody, the Hostel will compensate for the damage, unless it is due to force majeure as defined in the following paragraph.
  2. The Hostel shall not be liable for loss, breakage, or damage to deposited items in the following cases:
    • Damage or loss to items listed as non-depositable in the following paragraph
    • Force majeure such as natural disasters
    • When articles are seized or submitted as evidence by relevant government authorities through judicial or legal power
    • Damage or loss caused by unlawful acts of third parties (unless there is intentional misconduct or gross negligence by the Hostel)
    • Other cases not attributable to the Hostel
  3. The following articles cannot be accepted for custody at the front desk (Non-depositable items):
    • Cash and valuables (securities, precious metals, important documents, design blueprints, and other items deemed valuable by the depositor)
    • Corpses or human remains
    • Animals / pets
    • Volatile, explosive, or hazardous materials
    • Firearms, swords, weapons, or items that may be used for crimes
    • Items with strong odors or items subject to rapid decay/spoilage
    • Unclean items or items that may soil/damage the storage area
    • Items prohibited from possession/carriage by law
    • Other items deemed unsuitable for storage

[Money and Valuables]

Article 15

Money and other valuables may be kept in the safe boxes installed in the guest rooms. Use of the safe box is at the user's own responsibility. Unless there is intentional misconduct or gross negligence on the part of the Hostel, the Hostel assumes no liability for any loss, damage, or destruction.

[Use of Computer Communications]

Article 16

  1. Guests use computer communications within the Hostel at their own risk. The Hostel assumes no responsibility for any damages incurred by the guest as a result of service interruptions caused by system failures or other reasons, unless there is intentional misconduct or gross negligence by the Hostel.
  2. If any damages are caused or anticipated to be caused to the Hostel or third parties due to actions deemed inappropriate by the Hostel during computer communication use, the Hostel will claim compensation equivalent to the damages.

[Amendments to these Terms]

Article 17

The Hostel may amend these Terms and Conditions. In such cases, the Hostel shall announce the effective date and details of the amended Terms in advance by posting them on the Hostel's official website or through other appropriate methods.

House Rules

To ensure that all guests enjoy a safe and comfortable stay, Hostel WASABI Asakusa & Cafe (hereinafter referred to as "the Hostel") has established the following House Rules. We kindly ask for your cooperation. Please note that failure to observe these rules may result in the refusal of the use of our facilities.

1. Scope of Application

  1. These rules apply to all visitors and guests using any of the Hostel fs facilities (including accommodation areas, lobby, premises, etc.; hereinafter collectively referred to as "Hostel Facilities"). For any matters not stipulated in these rules, the Terms and Conditions for Accommodation shall apply.

2. Fire Prevention and Security

  1. The entire building is strictly non-smoking. If you wish to smoke, please use the designated outdoor smoking area.
  2. Do not enter non-guest areas such as staff backyards, emergency staircases, or machine/utility rooms.

3. Handling of Lost and Left-behind Items

  1. Lost property and left-behind items will be handled in accordance with Japanese laws and regulations (the Lost Property Act).

4. Use of Hostel Facilities

  1. Internet Usage
    • Guests are free to use the Hostel's internet; however, browsing or activities that violate public order and morals are strictly prohibited.
    • Wireless LAN (Wi-Fi) is provided as part of our services, but 100% stability and speed are not guaranteed.
    • Connection speeds may decrease or connection may fail depending on your device settings or network traffic.
    • The Hostel does not provide technical support for settings on personal computers or mobile devices.
    • Guests are solely responsible for protecting and managing the security of their connected devices.
  2. Guests are free to use the laundry facilities; however, please remove your laundry promptly after completion so as not to inconvenience the next user. The Hostel does not accept feedback or claims regarding the performance or specifications of the laundry machines.
  3. Facility Operating Hours
    • Front Desk: 7:00 a.m. – 10:00 p.m.
    • Showers: 24 hours
    • Laundry: 24 hours
    • Guests may use the Hostel's in-house facilities from 3:00 PM on the day of check-in until 10:00 AM on the day of check-out.

5. Guest Conduct

  1. Guests must follow the instructions of Hostel staff at all times. Failure to comply may result in eviction from the premises.
  2. Entry and exit to the Hostel are restricted to contracted guests only.
  3. The entire building is strictly non-smoking. Please smoke only in the designated outdoor smoking area.
  4. Please dispose of garbage properly in accordance with the Hostel's sorting rules.
  5. Guests who have consumed alcohol on the premises are strictly prohibited from driving motor vehicles or bicycles.
  6. Bringing hazardous materials or items prohibited by law into the premises is strictly forbidden.
  7. Although there is no strict curfew or lights-out time, please act considerately to avoid causing disturbance to other guests and neighborhood residents.

6. Liability

  1. The Hostel assumes no responsibility for disputes or trouble occurring between guests, unless caused by reasons attributable to the Hostel. Such issues must be resolved directly between the parties involved.

7. Other Prohibited Matters

  1. Gambling or engaging in activities that disrupt public morals within the Hostel Facilities.
  2. Loud voices, singing loudly, or disruptive behavior that causes nuisance to other guests.
  3. Severely unhygienic body or clothing conditions that may cause discomfort or trouble to other guests.
  4. Using guest rooms for purposes other than accommodation, eating, or drinking without permission.
  5. Bringing items into the facilities that may cause nuisance to other guests.
    1. Animals or pets in general (dogs, cats, small birds, etc.), excluding certified assistance dogs (guide dogs, service dogs, hearing dogs).
    2. Flammable or combustible gunpowder, volatile oils, hazardous goods, foul-smelling items, or items prohibited from possession by law.
  6. Damaging, defacing, moving, or altering the equipment/fixtures of the Hostel Facilities without permission, or taking them outside the premises.
  7. Distributing or displaying advertising/promotional materials, selling goods, soliciting, conducting commercial activities, distributing flyers, or collecting signatures without permission.
  8. Making photographs or videos taken inside the Hostel public for commercial purposes without prior permission.
  9. Any other acts deemed inappropriate by the Hostel.

8. Information and Policies

  1. Third parties are prohibited from using the trade name "Hostel WASABI Asakusa & Cafe".
  2. The Hostel operates as a simple lodging facility (Kan'i Shukusho) under an operating license granted pursuant to the Inns and Hotels Act (Ryokan Business Act).
  3. Personal information registered upon using the Hostel is protected under the Act on the Protection of Personal Information and will never be disclosed, transferred, or sold to third parties, except in the following cases:
    1. When prior consent has been granted by the guest.
    2. When disclosure is required by laws, regulations, or competent government authorities.
  4. The Hostel may send advertisements or notifications to email addresses provided with prior guest consent.
  5. All photos, texts, and designs published on the official website are the proprietary property of the Hostel. Unauthorized reproduction or use is strictly prohibited.
  6. These House Rules may be amended without prior notice, and the Hostel bears no obligation to provide advance notice.

9. Staff Patrols

  1. Please note that male staff members may conduct floor cleaning and routine patrols. We appreciate your understanding and cooperation.

Supplementary Provision: These Rules shall take effect as of December 1, 2023.
